Cloud Business Apps

You can use the BT Business Apps portal to manage access to your email apps like Office 365.

Accessing BT Business Apps

Log in to the BT Business Apps store using your BT Business account username and password, or access it directly from the My Account page under 'Manage your services' section.

Cloud-based app services

Before the cloud, if you wanted to use some software, you'd generally have to buy it outright and install it on to your computer(s).

With a cloud-based service, the software isn't on your computer, it's in the cloud and you access it through the internet. This means you don't have to buy it or install it anymore. If you've got an internet connection you can use it whenever you want, from wherever you are, and on whatever device you're using.

Why are cloud-based apps better than owning the software outright?

Cloud-based services are a low-risk investment that you can scale as you grow with your business. You don't need any other hardware or software and you pay by monthly or annual subscriptions rather than spending considerably more buying the software outright upfront. Because the software is in the cloud rather than on your computer, you'll always be using the most up-to-date version, so you don’t need to pay for more upgrade charges.

How do I upgrade my subscription?

  1. Log in to BT Business Apps
  2. Select the Manage tab in the menu bar, and then Account.
  3. From the new menu bar select Applications.
  4. On the application you'd like to upgrade click Update Subscription.

The application is ready to use when you've made your required changes.

How do I add/remove user licences to my subscription?

  1. Log in to BT Business Apps
  2. Select the Manage tab in the menu bar, and then Account.
  3. Select Manage Apps in the left-hand menu to see the applications you're subscribed to.
  4. Next to the service you want to update click Update Subscription. You'll see the list of plans available for your service with your current subscription details pre-selected.
  5. Update the number of Users as necessary and click Continue.

Your new licences are now available and ready to use.

How do I add users to my company?

To invite someone:

  1. Use your admin credentials to log in to My Account.
  2. Select the Users tab towards the top of the page.
  3. Scroll down the page and in the BT Business Apps section select View Users.
  4. Click Invite new user.
  5. Fill out the form’s required fields and click Send invitation.
  6. You’ll see confirmation that your invite has been sent. Your invite is valid for 28 days.


For invitees:

  1. You’ll receive an invitation email asking you to register to log in to My Account.
  2. Fill out the requested information and click Continue at the bottom of the page.
  3. Now accept the T&Cs for the BT Business Apps portal and click Next.
  4. You’ll receive a verification email from us asking you to click on verify your email address.
  5. Sign in as requested to finish your registration.


That’s it, you can now log directly into the portal for BT Business Apps

You can also access them by selecting Manage Settings under the BT Business Apps tile when you log in to log in to My Account

How do I add / remove subscriptions for other members of my company?

  1. Log in to BT Business Apps
  2. Select the Manage tab in the menu bar, and then Account.
  3. Select Assign Apps on the menu bar that appears.
  4. Select the product and the company members you'd like to assign or unassign them to.
  5. Click on Save changes on the right-hand side.


You’ll see a confirmation message that your changes have been made.

How do I manage users within my cloud service?

All BT Business applications allow Admins to manage users who use the service so you can fine tune the service to your business needs. Find out more:

How do I create reports?

  1. Log in to BT Business Apps 
  2. Under the Manage tab near the top pf the page select Account.
  3. On the dashboard page select Report from the options near the top of the page.
  4. On the Reports page, select Create Report in the menu on the left-hand side.
  5. Name your report and select the type, currently Invoice Detail is the only available type.
  6. Customise your report from the available options.
  7. Once you’ve chosen your parameters, click Create Report at the bottom of the page.
  8. Now select Download Reports in the menu on the left-hand side to download your report in .CSV file format. If you’ve scheduled your report for a future date, you’ll only be able to download it from then.

What’s the difference between the roles when I invite a user?

  • User - the standard default role that allows individuals to manage their assigned products or apps. User access is managed by account Admins or Super Admins. 
  • Admin - can set up and manage Users’ account access and permissions. Handy if you want more than one person managing your account and bills.
  • Super Admin – able to access and manage every account across your BT Business products and services.

When can I assign apps to a user?

They’ll need to accept their invitation and complete the online registration for Business Apps first. Then they need to log-in for the first time to have the account activated. They’ll then show up as a User in the Admin view and be assigned apps.

How do I change or delete a user's role?

  1. Log in to BT Business Apps
  2. Select Manage Permissions from the navigation bar near the top of the page.
  3. Scroll down the page and in the BT Business Apps section select View Users.
  4. Click Delete.

You can only remove users if they’ve no applications assigned to them, be sure to do this first in BT Business Apps

How do I cancel one of my existing services?

  1. Log in to BT Business Apps
  2. Select the Manage tab in the menu bar, and then Account.
  3. Select Manage Apps in the left-hand menu.
  4. Click Manage on the service you'd like to cancel then Cancel Subscription
  5. Complete the cancellation journey.

When you click Cancel subscription a confirmation pop-up will appear detailing any early termination fees that’ll be applied to your next bill.
