Display one phone number for all BT Cloud Voice calls (Single Calling Line ID)

With the site level feature Group Calling Line ID, you can decide to display any number of phone numbers for any number of employees when they dial out.

Remember though - one employee can only have one phone number displayed at any one time. However you can pick and choose, mix and match these on the BT Cloud Voice Business Portal.

So for example, you may decide that when Andrew and Peter make outbound calls, you want to show your inbound ‘Sales’ number, rather than their own direct numbers. Why? Because this ensures that when they ring your customers, and your customers ring back, they don’t get Peter directly, but instead go into the queue of your ‘Sales’ calls.

How do I set it up?

  1. Log in to the BT Cloud Voice Business Portal.
  2. From the dashboard select your Site.
  3. Select Features on the left.
  4. In the Group calling line ID tile, click the settings icon.
  5. Next, choose what type of number you want to display - you’ll have three options:
    • Set up a User number – this will present the users own phone number when they make calls and it’s the default setting, so no further changes are needed to set this up.
    • Set up a Site number – this will present the Site number you’ve set up from an existing number on the platform.
      1. Select Site number.
      2. From the drop down select the number you wish to present for everyone in the site.
      3. Click Save.
      4. To change this, click Manage under the Site display number.
    • Set up a Presentation number – this will let you form groups of users and display a number for each group.
      1. Select Presentation number.
      2. Name your group of Users.
      3. From the drop-down menu select the number you wish to present, from the selected users in this group.
      4. Click Continue.
      5. From the drop-down menu select the User(s) you wish to add to the group.
      6. Click Save.
      7. To add more groups click Add calling group under.
      8. Follow the same steps as above, as needed.

Please note, there is a slider that shows the “Default group”.  Any new users will automatically be added to this default group. You can only select one group, to be the default group,  and this doesn’t affect how the feature works.

Set up a Site display name

You also have the option to show a Site display name for outgoing calls as part of the caller ID. This usually only works if you call a mobile and instead of your business number showing up, the name will show instead.

  1. Under Site display name tick the box send as part of caller ID for outbound calls.
  2. Enter the name you wish to display on outgoing calls.
  3. Click Save.
  4. To change the display name, click Manage and follow the steps above.
