Sometimes you may want someone else to answer, make, or transfer calls on your behalf. You can do this by setting up a call delegate.
You can also share a phone number with a group of people, so everyone can see and answer the same incoming calls. This feature is useful for reception teams, shared desks, or any team that handles calls together.
Setting up a delegate to take your calls
You can choose any colleague in your organisation as a delegate, as long as they have a Teams Phone licence and are part of the same organisation/tenant.
Once added, a delegate can:
- Answer your calls.
- Make calls on your behalf.
- Transfer calls to you.
- Manage your call settings (if you allow it).
To set up a delegate, see Microsoft’s guidance on Setting up a delegate to take your calls.
Setting up a shared line
A shared line is a phone number is that is shared equally between a group of people. This means:
- Anyone can answer.
- Everyone sees the same incoming calls.
- Everyone can see if the line is busy.
Users in the group must have a Teams Phone licence and be part of the same organisation/tenant.
To set up a shared line, see Microsoft’s guidance on Setting up Shared Calling.
