Manage roles in My Account

The Roles area is where roles in your business can be viewed and organised. My Account members can have a variety of roles across Billing, Cloud Voice Express and BT Business Apps. The following FAQs will explain everything you need to know about them.

You might remember this section being called ‘Manage permissions’.

To find the Roles area, first log in to My Account. Then select Roles in the menu bar towards the top of the dashboard. Or go to Roles straight from here.

What types of roles are there and which can I control?

You can have roles for Billing, Cloud Voice Express and BT Business Apps. Your level of control over other My Account members roles depends on the role(s) you hold.

Billing roles

To view the group of billing accounts you need, use the Select a group dropdown menu.
On each account in a group, you can have one of four billing roles:

  • User
    You can:
    • Do all billing tasks, except tag services and their costs.
    • Add accounts to the group and access other accounts in the group. (Select Add account or Access accounts.)
    • Manage orders, services and faults.
    • View My Account members on your account with admin and super admin roles, together with their emails.
    • Ask them to upgrade you to advanced user, admin or super admin.
    • Upgrade yourself to advanced user, admin or super admin – if there’s no admin or super admin on your account. 

  • Advanced user
    You can:
    • Do all billing tasks, including tagging services and their costs.
    • Add accounts to the group and access other accounts in the group. (Select Add account or Access accounts.)
    • Manage orders, services and faults.
    • View My Account members on your account with admin and super admin roles, together with their emails.
    • Ask them to upgrade you to admin or super admin.
    • Upgrade yourself to admin or super admin – if there’s no admin or super admin on your account.

  • Admin
    You can:
    • Do all billing tasks, including tagging services and their costs.
    • Add accounts to the group and access other accounts in the group. (Select Add account or Access accounts.)
    • Manage orders, services and faults.
    • View all My Account members on your account: users, advanced users, admins and super admins, together with their emails.
    • Ask a super admin to upgrade you to super admin.
    • Invite members, remove members, and manage their roles – up to admin level.
    • Upgrade yourself to super admin, if there’s no super admin on your account.
  • Super admin
    The same as admin, but you can also:
    • Invite members, remove members, and manage their roles – up to super admin level.
    • Get BT Business Apps admin roles. In the Billing tab, select Get admin role(s) for BT Business Apps.

Cloud Voice Express roles

  • User
    You can:
    • Manage and view phone usage for your Cloud Voice service ID.
    • Set up incoming/outgoing calls, call diverts and voicemail.

  • User & admin
    The same as user but you can also:
    • View My Account members on your service ID, together with their emails.
    • Invite members, remove members, and manage their roles.
    • Change your role to admin, in order to free up a phone number. In the Your role column, select your existing user & admin role and follow the steps.

  • Admin
    The same as user & admin, except you have no access to a phone number.
    • You can switch to a user & admin role, (which does have a phone number). In the Your role column, select your existing admin role and follow the steps.

BT Business Apps roles

  • User
    You can:
    • Research apps and use the ones you have access to.

  • Admin
    You can:
    • Research, use, buy and manage apps.
    • View My Account members on your company, together with their emails.
    • Invite members, remove members, and manage their roles.

If you’re a super admin on a billing account, you can get BT Business Apps admin roles automatically.


In the Billing tab, select Get admin role(s) for BT Business Apps. An option to Get an admin role will appear next to a company in the BT Business Apps tab.
If you already have a user role on a company, you can email an admin on it and ask them to upgrade you. Or if there isn’t one, just contact us so we can.

How do I become an admin?

You can have admin roles on Billing, Cloud Voice Express and BT Business Apps.

You can have as many admins as you like.

How to become an admin on a billing account

If you’re registered for My Account, there are four ways:

  1. When there’s no admin or super admin on your account, you can upgrade yourself from user or advanced user to admin, or super admin:
    • Go to the Roles area of My Account.
    • Select the group your billing account’s in, from the Select a group dropdown menu.
    • Select Upgrade role.
    • We’ll send a PIN to your postcode for security purposes, valid for 28 days.
    • Enter it to unlock your admin role.

  2. When there’s an admin or super admin on your account, you can ask them to upgrade you. Their contact email will be in the Other members’ roles table. We’ll tell you when they’ve upgraded you, by email.

  3. An admin or super admin on your account can upgrade you to admin automatically. We’ll email you when they do so.

  4. An admin or super admin can invite you to become an admin on an account you don’t have a role on. You’ll receive the invite by email and in your Roles notifications.

 

If you’re not registered for My Account, there are two ways:

  1. An admin or super admin can invite you to a billing account with an admin role.
    You’ll receive their invite by email. It’ll explain how to register for My Account.

  2. You can assign yourself an admin role while registering for My Account:

    • Select Create an account on the My Account login page.
    • Follow the registration steps.
    • When prompted, choose an admin role.
    • We’ll send a PIN to your postcode for security purposes, valid for 28 days.
    • Enter it to unlock your admin role.

How to become an admin (or user & admin) on Cloud Voice Express

If you’re registered for My Account, there are two ways:

  1. An admin (or user & admin) on your service ID can upgrade you. We’ll email you when they do so.

  2. An admin (or user & admin) can invite you to become an admin (or user & admin) on a service ID you don’t have a role on. You’ll receive their invite by email and in your Roles notifications.

 

If you’re not registered for My Account:

An admin (or user & admin) can invite you to Cloud Voice Express with an admin (or user & admin) role. You’ll receive their invite by email. It’ll explain how to register for My Account.

How to become an admin on BT Business Apps

If you’re registered for My Account, there are three ways:

  1. An admin on your company can upgrade you to admin. We’ll email you when they do so.

  2. An admin can invite you to become an admin on a company you don’t have a role on. You’ll receive their invite by email and in your Roles notifications.

  3. If you’re a super admin on a billing account, you can get BT Business Apps admin roles automatically. In the Billing tab, select Get admin role(s) for BT Business Apps. An option to Get an admin role will appear on next to a company in the BT Business Apps tab. If you already have a user role on a company, you can email an admin on it and ask them to upgrade you. Or if there isn’t one, just contact us so we can.

 

If you’re not registered for My Account:

An admin can invite you to a company with an admin role.
You’ll receive their invite by email. It’ll explain how to register for My Account.

Why do BT have to send a PIN by post and what happens if I don’t receive it?

We send it by post to help make sure your account’s kept completely secure. Banks and credit card companies rely on this too.

Don’t worry if it doesn’t come straight away, we allow a few days for the post to deliver it.

If you do need to request another PIN for any reason, just press Resend PIN in the Roles area of My Account. We’ll send you another PIN and your original PIN will be deleted.

How do I become a super admin on a billing account?

When you’re registered for My Account, there are four ways:

  1. If you have a user or advanced user role, and there’s no admin or super admin on your account, you can upgrade yourself to super admin.
    If you have an admin role, and there’s no super admin on your account, you can upgrade yourself to super admin.

    • Go to the Roles area of My Account.
    • Select the group your billing account’s in, from the Select a group dropdown menu.
    • Select Upgrade role.
    • We’ll send a PIN to your postcode for security purposes, valid for 28 days.
    • Enter it to unlock your super admin role.

  2. When there is a super admin on your account, you can ask them to upgrade you. Their contact email will be in the Other members’ roles table. We’ll tell you when they’ve upgraded you, by email.

  3. A super admin on your account can upgrade you automatically. We’ll email you when they do so.

  4. A super admin can invite you to become a super admin on an account you don’t have a role on. You’ll receive the invite by email and in your Roles notifications.

 

When you’re not registered for My Account there are two ways:

  1. A super admin can invite you to an account with a super admin role. You’ll receive an email invite which’ll explain how to register for My Account.

  2. You can assign yourself a super admin role while registering for My Account:
    • Select Create an account on the My Account login page.
    • Follow the registration steps.
    • When prompted, choose a super admin role.
    • We’ll send a PIN to your postcode for security purposes, valid for 28 days.
    • Enter it to unlock your super admin role.

 

There can be as many super admins on an account as you like. But it’s best to limit the number, so they have greater control.

I’m no longer a super admin. Why?

It’s because another super admin has downgraded your role. We’ll send a notification to the Roles area of My Account telling you which super admin it was.

I’ve logged in and can’t see a billing account or service I used to have a role on. Why is this?

It’s because an admin or super admin has removed you. Go to your notifications in the Roles area of My Account. You’ll see which admin/ super admin it was, together with their email.

I’m an admin, and see a My Account member I don’t recognise. What should I do?

Try contacting them, using the email next to their name. Or if you need to, remove the member from the account or service. They’ll get a notification to say they’ve been removed.

What if a super admin leaves without giving someone a super admin role?

As there’ll be no other super admin on the billing account to remove them, you’ll need to contact us. We’ll remove the member’s role, then you’ll be free to request an admin or super admin role online, in the Roles area of My Account.

The same applies when an admin leaves without giving someone an admin role.
