How to set up Webex (as part of Digital Voice for Business)
Webex by Cisco is a calling and collaboration tool you can use with your Digital Voice for Business service.
Available on desktop, mobile or tablet, it’s a downloadable application that allows you to easily make and receive audio and video calls, use instant messaging, and have AI-powered, collaborative meetings.
Note: Webex is included in both our Digital Voice for Business packages (Enhanced and Extra), but only voice calls are included in our Enhanced package.
To get Webex set up, follow the steps below. There’s different information depending on whether you’re a Digital Voice for Business administrator, or simply a user.
What you’ll need before you start
Once your Digital Voice for Business service is up and running, you’ll need a compatible desktop, mobile, or tablet to use Webex. Please visit the Cisco Help Centre for details on the latest system requirements.
You’ll also need a compatible browser, including Chrome, Firefox, Safari, or Edge. Your browser must be updated to at least one of the two last major version releases.
Setting up Webex
Administrators: how to make sure users have access to Webex
If you’ve not given the user Digital Voice for Business portal access
Once you’ve set up the user in the Digital Voice for Business portal, you’ll need to follow steps 1 to 12 below if you’ve not given the user access to the Business portal.
Most of the Webex setup takes place in the portal, so as an administrator, you’ll need to do most of it on the user's behalf.
If you have given the user Digital Voice for Business portal access
You do not need to do anything else once you’ve set up the user in the Digital Voice for Business portal. The user will simply receive an email from us and be instructed on how to set up their profile in the Digital Voice for Business portal.
The user will then need to follow all the steps below to get Webex set up on their device.
Users: how to set up Webex via the Digital Voice for Business portal
Note: if you’re a user who doesn’t have access to the Digital Voice for Business portal, the administrator will carry out most of the steps below for you. You will just receive one email inviting you to use Webex, and only need to follow steps 13 to 16 .
For users who do have access to the Digital Voice for Business portal, you’ll need to:
- Firstly, log in to the Digital Voice for Business portal. You can learn more about the Digital Voice for Business portal in our handy portal guide.
- In the dashboard on the left, select Applications.
- In the Application login credentials section, select Change password.
- Follow the instructions to set your new password, and tap Save. Note: this is the password you’ll use to log in to the Webex application.
- Scroll down to the Web Apps section. Here you should find the Cisco Webex for Desktop app – tap the Activate button.
- A pop up will appear. Enter the email address you use to log in to the Digital Voice for Business portal.
- Tap the Check button – the system will confirm whether you can use this email address to log in to Webex too.
- Then, click Continue.
- This will open a new tab in your default browser. You will then need to go back to the Digital Voice for Business portal tab and copy the Application username (a BT-generated email address) found in the Application login credentials section.
- Go back to the Webex website tab. Paste the BT-generated email address into the Username field. Don’t worry, this is just a temporary email address used for setting up.
- Now enter the password you set earlier. Then tap Submit.
- You’ll be taken to another screen. Here, enter the email address you use to log in to the Digital Voice for Business portal. Tap Submit.
- You’ll then receive an email inviting you to use Webex. Tap the Join now button in the email.
- You’ll then be taken to Webex’s website where the final few steps of the setup will automatically begin. Please do not close this screen until you have been redirected to the Webex download page on your browser.
- Follow the steps to download the Webex application to your device, whether that’s the desktop, tablet or mobile app.
- Once the Webex application is successfully downloaded, log in using your email address and the password you set earlier.
Will the Webex app remember my login details?
When you tap Exit on the desktop version, your login details will be stored so that you won’t need to re-enter them next time you log in.
It's similar in the mobile app – if you swipe to close the app, then your details will be remembered the next time you open it.
However, for security reasons, if you sign out of the app rather than exit it, your login details will not be remembered. You’ll be asked for your email address and password when you next log in.
If you’ve forgotten your login details, you can find your username in the Digital Voice for Business portal. To find it:
- In the dashboard on the left, select Applications.
- Go to the Application login credentials section. Here you will find your username.
You can reset your password in this section too, if needed. If you do not have access to the Digital Voice for Business portal then please contact your admin who can reset this for you.
