What do you need help with?

User types on Digital Voice for Business

There are three types of user access an employee can have in the Digital Voice for Business portal:

  • Standard user – can use the service but has limited access to settings and management tools.
  • Team administrator – can manage users within their assigned team, but not view business-wide settings or billing details.
  • Business administrator – can manage all users, business-wide settings and services, but not view billing details.

Users

Everyone in your business who needs to use Digital Voice for Business must be set up as a user. This means they’ll be given their own Digital Voice for Business portal login access, and be able to:

  • Make and receive calls.
  • Access any features or apps included in your chosen package.
  • Be included in any business-wide call routing.

Users can also customise various call settings, update their ‘Do not disturb’ time schedules, and view their call history.

Note: if someone from your business wants to become an administrator on Digital Voice for Business, they must be set up as a user first.

Setting up your first user 

When you set up your first user, you’ll be able to activate your phone number on Digital Voice for Business and get your service up and running. 

 

Teams and team administrators 

You can create ‘teams’ in the Digital Voice for Business portal to help manage groups of users. This can be useful for managers or team leaders who want to manage their team’s call forwarding settings – for example, if one of their team members is taking annual leave.

How it works:

  • Each team can include multiple users.
  • You can assign one or more team administrators to a team.
  • Team administrators can view and manage details for all users in their team.

However, team administrators do not have access to:

  • Details of users outside their team.
  • Sensitive information like billing details.

 

Business administrators 

You can also assign users the role of business administrator in the Digital Voice for Business portal. Business administrators can manage all aspects of your Digital Voice for Business service.

What can business administrators do? 

Business administrators can:

  • Add or remove other user profiles and devices.
  • Modify your Digital Voice for Business package.
  • View and manage all Digital Voice for Business call features.
  • Assign and unassign other business administrators.
  • Create teams and assign team administrators.

Business administrators can essentially take full control of your Digital Voice for Business package. Therefore, only trusted users should be assigned this role. Note: billing is managed in My Account rather the Business portal, so assigning someone as a business administrator won't grant them access to this.

 

Users and emergency services – important information 

We'll keep a record of the full address of each of your users for the emergency services. This is so they’ll know immediately where to go if someone from your business calls 999.

It is essential that this information is accurate and kept up to date. 

When you set up users, you can confirm or change their 999 address. If the address changes, the administrator or user can log in to the Business portal to update it. This will automatically update the address for 999 emergency services.
