Get help with voicemail on Avaya IP Office

Find out how to access voicemail, change embedded and personal voicemail greetings and switch voicemail on or off on your extension.

Accessing voicemail on Avaya IP Office

To access your voicemail:

  1. Dial *17 from your extension. Some Avaya telephones have a dedicated voicemail key which can also be used to access your mailbox.
  2. If your mailbox has an access code set, using your telephone keypad enter the mailbox number followed by # and password followed by #
  3. You’ll hear a prompt telling you how many messages you have in your mailbox.
  4. The voicemail system will start playing your new messages.
  5. Once you have accessed your mailbox, you can use the following codes:
    • Play old messages: Dial 1
    • Play saved messages: Dial 2
    • Edit your mailbox greeting: Dial 3
    • Delete current message: Dial 4
    • Save current message: Dial 5
    • Change mailbox access code: Dial *04
    • Hear Help Prompts: Dial *4
    • Exit: Dial 8

Changing voicemail mailbox greetings

Changing Embedded Voicemail greetings

You'll need to access your mailbox either by a system short code or using the Visual Voice button on the Avaya telephone which then depends on how it's configured.

A greeting must be longer than 3 seconds. The maximum length of a greeting is 120 seconds by default.

Changing the mailbox greeting using a system short code:

  1. A system short code may be *17, *715 or another code with a * or # then a three digit code. This all depends on how this was configured on your Avaya IP Office telephone system.
    Caution: Before re-recording any mailbox greeting, in your mailbox play your current recording first to make sure this is the message you want to change.
    If you're prompted, enter your mailbox number followed by the # key. If you're not prompted continue with the next step.
  2. Enter your secure mailbox password followed by the # key.
  3. When you're in your mailbox, dial 3 to access the change 'Mailbox Greeting' menu.
    You now have the following options:
    • Always listen to your current mailbox greeting: dial 1
      If this is the correct message you want to change continue with the next step, if not disconnect from the mailbox.
    • Record a new greeting: dial 2 (speak after the tone).
      Note: A long (approximately 10 seconds) period of silence will disconnect you from voicemail.
    • To play back and listen to your new greeting, dial 1
  4. You now have two choices to save your new greeting either to allow voicemail messages to be left in your mailbox or just play a greeting only.

    Save a new greeting and allow voicemail messages dial 3 (if you hang up before dialling 3 the new greeting won't save). 
    Or
    Save a new greeting as a loop (as an announcement only) dial 4.

    Note: When selecting this option, you can only change the greeting back to a normal greeting by recording a new greeting.


Changing the mailbox greeting using the Visual Voice button

This will depend on how your Avaya IP Office is configured.

  1. Press the Message button and select the mailbox.
    • Enter your voicemail secure password and then press Done.
  2. The 'Visual Voice' menu is displayed.
  3. Use the up and down cursor keys to select Greeting and press Select.
  4. Use the soft keys to listen to and record your mailbox greeting:

    Caution:
     Before re-recording any mailbox greeting once in your mailbox, play your current recording first to make sure this is the message you want to change. If this is the correct message you want to change, continue to re-record the greeting, if it isn't the correct greeting press the Cancel option to return to the main visual voice menu.
    • Listen - Always listen to the current greeting or the new greeting just recorded.
    • Stop - Record a new greeting. The greeting must be at least three seconds long or the voicemail system discards it.
    • Submit - Submit the new recording as your mailbox greeting.
    • Delete - Delete your mailbox greeting. Your mailbox returns to using the system’s default mailbox greeting.
    • Cancel - Return to the main visual voice menu.

Changing a personal mailbox greeting

To change your personal Mailbox Greeting:

  1. Dial *17 from your extension.
  2. If you’re prompted to enter your mailbox number, enter your extension number.
  3. If you’re prompted to enter a password, enter the 4 digit password and then dial the # key.
  4. Dial 3 on your keypad.

The following options are now available to you:
a)  Listen to greeting: Dial 1 (listen to latest saved recording)
b) Record a new greeting: Dial 2 (speak after the tone)
c) To end the recording: Dial 2
d) Save a new greeting: Dial 3 (if you hang up before pressing 3 the message won’t save) 
e) Save a new greeting as a loop (as an announcement only): Dial

 

How do I switch voicemail on / off on my extension?

You can use the following IP Office dialling short codes to control your Voicemail. Avaya IP office phone

  • Dial *18 to turn your Voicemail on.
    Calls will go to voicemail when you are busy or don't answer.
  • Dial *19 to turn your Voicemail off:
    Turns off your Voicemail.

These are the default system short codes for this feature, they can be easily changed to a new value or digits.
